Who we are

OptiAiUK Ltd (company number 17229549) is registered in England and Wales and is responsible for the personal information collected through this website. Our registered office is 128 City Road, London, EC1V 2NX. For privacy questions or requests, email rosy@opti-ai.co.uk.

What you share with us

Our enquiry form asks for your first and last name, email address and message. You can also provide a company name and telephone number. Please avoid including sensitive personal information in your message. If you email us instead, we receive the information in your email.

Why we use it

We use enquiry details to respond, understand what you need and arrange a conversation or meeting with you. We do not provide an automatic calendar booking. Our form currently asks for permission to store and process your details. Optional marketing permission is separate: you can enquire without agreeing to other communications.

We rely on your consent where the enquiry form asks for permission to process your information, and for optional analytics and marketing. We may also use information to take steps you request before entering a contract, fulfil a contract, meet legal obligations, or pursue our legitimate interests in responding to business enquiries and keeping our services secure. You can object to processing based on legitimate interests by contacting us.

Services involved

The enquiry form sends information to our HubSpot CRM. Notifications and follow-up email use Google Workspace. The website is delivered through Sites hosting on Cloudflare infrastructure. Google reCAPTCHA helps protect the form from abuse. These services may process technical information such as IP address, browser details and security signals.

Service providers may process information outside the UK. HubSpot describes its international transfer safeguards, including standard contractual clauses and the UK Addendum where required, in its data processing agreement. Google explains its international processing in its privacy policy. Contact us for details or a copy of the safeguards applicable to your information.

How long information is kept

The retention period depends on the purpose and circumstances. Enquiry records are needed while we discuss your requirements and any resulting project or ongoing relationship. Where there is no ongoing relationship, the criteria are whether follow-up is still reasonably expected, the date of our last meaningful contact, and any complaint, dispute or legal record-keeping requirement. Information should be deleted or anonymised when it is no longer needed for these purposes. Contact us to ask about retention of your particular record or request deletion.

Your choices and rights

You can withdraw any permission you have given by contacting us. Withdrawal does not affect processing already carried out lawfully. You can unsubscribe from marketing using the unsubscribe option in a message, or by emailing us.

Depending on the circumstances, you may ask to access, correct or delete your information, restrict its use, object to processing, or receive a portable copy. You can contact us to exercise these rights. You may also complain to the Information Commissioner’s Office.

Cookies and website analytics

This site uses optional HubSpot analytics only after you accept analytics. It helps us understand visits, traffic sources and page activity. HubSpot may connect activity to a contact record where its settings and your permissions allow. No advertising pixels are installed. The embedded form and reCAPTCHA load third-party services to support enquiries and security. You can use the email alternative if you prefer not to use the embedded form.

You can reject analytics without affecting your ability to enquire. Use Cookie settings below or in the homepage footer to change your choice. We store your choice in this browser for up to six months. Withdrawing consent stops future optional tracking; it does not undo data already collected lawfully. HubSpot analytics cookies can include hubspotutk, __hstc, __hssc and __hssrc. HubSpot describes cookie purposes and lifetimes in its cookie information. The preference controls do not delete CRM records or data already collected.

Changes to this notice

We will update this page when the website’s services or data practices change. We do not make decisions with legal or similarly significant effects about you solely through automated processing of website enquiries.
